Coming late November

Break the subscription barrier.

Desktop bookkeeping and invoicing for small businesses.

For people who run their own business, or several, and anyone leaving QuickBooks Desktop. Pay once and it's yours to keep using. Your books stay on your computer and save the instant you press Enter. No waiting, no monthly bill.

Own your software

Buy it once. It's yours. Not "yours until the next billing cycle."

Own your data

Everything stays on your computer, and all of it exports. Nobody can hold it hostage or raise the rent, and we never see it.

Simple by design

Built for people who run a business, not for accountants. If it needs a manual, we did it wrong. No waiting on the internet: every entry saves instantly.

The whole Mach Works window: the header with the company picker and module marks, the icon rail, and the dashboard: cash on hand, profit this month, money owed to you and by you, profit by month, spending by category, and who owes you by invoice age.
Mach Works, open on the dashboard, with the Transactions menu showing what's inside: ledger, imports, review queue, reconcile, fixed assets.

Bookkeeping

Real books without the accountant vocabulary.

On sale late November

Books kept the way accountants expect.

Every entry balances the way accountants check it, or it doesn't save. You never have to think about how; it's there when your accountant wants to look. Every change is kept, before and after, even when an entry is deleted.

The Business Checking register for August with one entry opened, showing its debit and credit lines and a History link.
The checking register. Open any line to see what it did and everything that's happened to it.

Bank statements in, sorted fast.

Download your statement from your bank's website as a QBO, QFX, OFX or CSV file and drop it in. It learns where each payee goes and files the usual ones for you. It never asks for your bank login. You only look at what's new.

A card statement imported: 14 lines read, 11 posted by the owner's own rules, 3 left to categorize.
A month of card charges: 14 read, 11 filed for you, 3 left for you.

Check your books against your statements.

Each account's year at a glance: the months you've checked, the ones in progress, and what's still left. Pick up where you left off in one click.

The Reconcile page: each account's balance, when it was last reconciled, a month-by-month strip for the year, and how many lines are not yet reconciled.
Checking against statements: each account's year, month by month, with what's still left.

Big purchases, spread over the years.

Add a vehicle or a computer once. Mach spreads its cost over the years on a standard schedule, adds each year's entry to your books in one click, and gives your tax preparer the schedule to check.

Fixed assets: each asset with its method, this year's depreciation and book value, a chart of each year's share of the cost, and the totals.
Vehicles and equipment: each year's share of the cost, on a schedule for your tax preparer.

Tax time: do it yourself, or hand it off.

Sole owner? The numbers for your tax return's business page (Schedule C) are put together for you. Fill in the forms yourself, or hand your accountant one Excel file with all your reports, plus a file QuickBooks Desktop opens. Files, not a login. Tax worksheets are calculated from your books. Before you file your taxes, they must be reviewed by you or a qualified tax professional.

The Schedule C summary for 2025, line by line, with CSV and TurboTax export buttons.
Your Schedule C numbers, ready to copy, or saved as a file for TurboTax on your computer.

Bookkeeping Pro · S corporation

Own an S corporation? Your tax-return numbers, from your books.

Pro prepares worksheets from your books, form by form, for your tax software or your accountant. It doesn't file the return. Tax worksheets are calculated from your books. Before you file your taxes, they must be reviewed by you or a qualified tax professional. For your accountant: 1120-S, K-1s, 1125-A, 4562, 4797, Schedules L, M-1 and M-2, and 7203.

Invoicing

Invoices out, money in, nothing rented.

On sale late November

Invoices that look like your business.

Four layouts, any color you like, your logo and a choice of type styles. Pick them once and your invoices and orders to suppliers both follow. Put your own payment link on it (PayPal, Stripe, Square or any other) and the invoice carries a Pay button and a code customers can scan with their phone to pay. We don't sit in the middle of your money.

The purchase order in the Modern layout, in teal.

An invoice and a purchase order in the same layout. Each layout is shown in a different color; use any color you like.

Know where every invoice stands.

Open an invoice and it's all there: what's paid, what's still due, and everything that's happened to it. Email the PDF from your own mailbox, so the customer sees your address, not ours. Record a payment in one click; part payments and credits show right on the invoice.

An invoice page: the amount paid and the balance due, the payment recorded against it, and its history.
One invoice: paid, due, and its history. Payments and credits show right on it.

Reminders, worked out for you.

Set your reminder schedule once and the app picks out who's due a nudge. Preview each message, skip any customer you'd rather not chase, and send the rest at once, with a late fee if you charge one.

The Invoices list narrowed to reminders due: ten overdue invoices ticked, with the Reminders menu open on Preview each, Skip selected and Send 10 reminders.
Ten overdue invoices, ticked and ready. Preview, skip, or send them all.

Invoicing Pro

Quote it, track it, bill it.

For work that runs longer than one invoice, send an estimate and turn it into a job. Log time and costs as you go, and bill from the job in one click. Then see what you quoted, what you won, and what each job actually made.

Estimates: Develop estimates and quote the work.

Your data, in and out

Everything goes in. Everything comes out.

Your books aren't locked in a format only we can read. Bring them over from QuickBooks and your bank, and take all of it out whenever you like: to Excel, to QuickBooks, to TurboTax (a TXF file), to your accountant.

Take it out

  • ExcelOne workbook: P&L, balance sheet, cash flow, Schedule C, who owes you and who you owe, the chart of accounts, the year's journal entries and the trial balance. Real numbers, ready to add up.
  • QuickBooksA file QuickBooks Desktop imports: your accounts, customers, vendors and every entry, as journal entries. If you ever go back, your books go with you.
  • TurboTaxExports a TurboTax file (TXF) for Schedule C.
  • CSVA spreadsheet file of any report, one click.
  • PDFInvoices, supplier orders, credits, customer statements and 1099-NECs, to print or send.
  • 1099-NEC1099-NECs for contractors: a file you upload to an online 1099 filing service.
  • EverythingOne download with everything: your books, every receipt photo, the Excel file and the QuickBooks file.

Bring it in

  • QuickBooksSwitch from QuickBooks Desktop: accounts, customers, vendors, open invoices, unpaid bills and every balance, checked against QuickBooks' own reports before you start.
  • BankThe statement files your bank's website offers (CSV, OFX, QFX or QBO), from any bank.
  • ReceiptsA photo of the receipt. Mach Works fills in the vendor, date and total when it can read them, and you check them.

Excel, QuickBooks and TurboTax exports come with Bookkeeping. Every key can download all of its own data, whole.

Pricing · use one, or put them together

Bookkeeping records it. Invoicing runs it.

Mach Works is one download, and each part unlocks with its own license key. Each one works completely on its own. Own both, and they share one file: every invoice, payment and credit lands in the books without being typed twice. Start with either one and add the other key any time: paste it in, no reinstall, no import.

FAQ

Before you buy.

What about future versions?

You can keep using your version, and every update to it is included. Any future version is an optional upgrade.

What about tax-rule changes?

Every update to your version is included, including the tax-rule changes Mach releases for the tax year or years it covers. Any later version is an optional upgrade.

How many computers does a key cover?

One key covers your business. You and the people who work for you can use it on up to three PCs at a time: say a desktop, a laptop and a spare.

Do I need to renew?

No. There's no subscription and your key doesn't expire. After its one online check, about a month after you buy, your copy keeps running on the computers it's on, and your books are files you keep.

Why pay once instead of a subscription?

Your license doesn't expire and never needs renewing. Pay once and keep using Mach Works. Your books live on your own computer, not someone else's cloud, and you can export them and take them anywhere. They're yours.

Does it connect to my bank?

No, on purpose. Download your statement (CSV, OFX, QFX or QBO) and drop it in. It learns where each payee goes and files the usual ones for you, and nobody holds your bank login.

Is there a Mac version?

Not yet. Mach Works runs on Windows 11 at launch; a Mac version is coming soon.

Can I try it first?

Buy it and use it. If it isn't right for you, ask for your money back within 30 days.

What it does, and what it doesn't

Everything in the box.

Every key includes

Customers and suppliers · invoices, credits and supplier orders you can print or save as PDF, with your logo and color · payments against them · deposits paid up front · your items and prices · backups, and a download of everything. Bookkeeping and Invoicing each build on this.

Bookkeeping

  • Check against your statements, then lock the month
  • A record of every change
  • Bills you owe, and paying them
  • Vehicles and equipment, spread over the years on a schedule
  • Reports: profit and loss, balance sheet, cash flow
  • Who owes you and who you owe, and for how long
  • Schedule C and a TurboTax file (TXF)

  • Switch from QuickBooks Desktop

Bookkeeping Pro

For an S-corp, or more than one business.

  • Everything in Bookkeeping, plus
  • Every business you own. Each one gets its own books under one key. Subscriptions charge for each business, every month.
  • S corporation tax numbers, from your books. The figures for the main federal forms for an S corporation return, line by line.
  • Check printing. Pay bills by check: Mach Works fills in the payee, amount and date on the pre-printed checks from your bank or a check supplier.

Invoicing

  • Adds to the invoices every key makes:
  • A dashboard: billed, paid, still owed and late
  • Four layouts and a live preview, for invoices and supplier orders alike
  • Discounts, the customer's order number, and your payment link on the invoice
  • Sent from your own email
  • Overdue reminders, worked out for you
  • Late fees, charged on your own rules
  • A Pay button and a scan-to-pay code on your own link
  • Payments, part payments, credits
  • Revise a sent invoice without losing the original
  • Customer statements, printed or emailed
  • Reports: sales, payments, who owes you, sales tax, credits and refunds, supplier orders

Invoicing Pro

For quoted work, regular clients, or more than one business.

  • Everything in Invoicing, plus
  • Every business you own. Run them all from one license.
  • Estimates. Send a quote; when the customer says yes, bill it all at once, in parts, or with a deposit first. See which quotes are out, won and lost.
  • Jobs. Log time and expenses against each job and bill them in a click. See what's done but not yet billed, and what each job made against its plan.
  • Invoices that repeat. The same invoice weekly, monthly, quarterly or yearly, made for you as a draft to look over or ready to go.

What it doesn't do

  • Run payroll. Record the payroll your provider runs; we don't calculate or file it.
  • Log in to your bank. Statements come in as files you download. Nobody holds your bank password.
  • Live in the cloud. No web or phone app. It runs on your Windows PC, and your books stay there.
  • Two people at once. Mach Works is single-user: your books live on your own PC, for one person at a time. It doesn’t share company files over a network.
  • File your return. It fills in the figures; you or your accountant review and file.
  • Track stock counts. It doesn't count what's on your shelves.

On the launch pad

Next up, after Mach Works lifts off. Plans, not part of what you buy today; they ship when they’re ready.

  • Mac Windows 11 at launch; a Mac version is coming soon.
  • Other countries and currencies US at launch; more countries follow, in their own currencies.
  • Card payments, recorded for you Connect your own Stripe account. When a customer pays, the payment and Stripe's fee land on the invoice and in your books.
  • AI assistant Your own AI answers questions about your books, brings in data and drafts invoices. You approve what posts.
